CBU is implementing a new process for Off-Campus Activities/Field Trips. We will be using Laserfiche Forms for all requests. This would be for field trips, conferences, competitions, and any activity where a faculty member takes a student off campus.

LOCAL TRAVEL REQUIREMENTS – Within a 50-mile radius of CBU)
- You will need your Dean/Associate Dean's approval for this off-campus engagement.
- At least one faculty or staff member should be chaperoning the off-campus engagement.
- Since the off-campus engagement is within 50 miles of campus, students can drive themselves but will need to prove they have an active Driver’s License and insurance, as well as up-to-date Registration (which will be completed through the forms sent out).
- Faculty and Staff cannot ride in a car with students, nor can they drive students in their car. The only workaround for this is to rent a car and have the faculty or staff member drive students in the rental car.
- If you are providing transportation and have a student not using the CBU-provided transportation, they must give a legitimate reason why they are not and fill out the CBU Refusal of Transportation Form., as well as the Authorization to Operate a personal Vehicle Form.
- The forms that need to be completed:
- Emergency Contact/Medical Info (Sent through Laserfiche)
- Travel Release of Liability and Media Release (Sent through Laserfiche)
- Authorization to Operate a Personal Vehicle (Sent through Laserfiche)
- An External Activities Report (EAR) will have to be submitted via email to Brock Brenneman (bbrenneman@calbaptist.edu) and EAR@calbaptist.edu.

DOMESTIC TRAVEL REQUIREMENTS – Outside of a 50-mile radius of CBU:
- You will need your Dean/Associate Dean's approval for this off-campus engagement.
- At least one faculty or staff member should be chaperoning the off-campus engagement.
- Since the off-campus engagement is over 50 miles from campus, you MUST provide transportation for everyone to and from the event.
- If the off-campus engagement requires travel by airplane, you MUST provide transportation to and from the airport and have the group meet at CBU to travel together.
- If you have a student not using the CBU-provided transportation, they must give a legitimate reason why they are not and fill out the CBU Refusal of Transportation Form., as well as the Authorization to Operate a personal Vehicle Form.

INTERNATIONAL TRAVEL REQUIREMENTS – All forms are completed online through TerraDotta)
All International Academic Travel must be approved by the Director of Academic Engagement, your area Dean, and The Office of the Provost. This is done by submitting a proposal with a due date of March 1 for the upcoming academic year (e.g., March 1, 2025 submission would be for the 2025/2026 academic year). The proposal must include a location, budget, Global Course, leader's names, activity in the field, and safety plans.
Your location would also need to be approved by the Board of Trustees. If your submission is late, there is a chance you will not be approved. Upon approval, you will be sent an email informing you of the locations approved.
